Club events
Run club-wide events, team practices, and facility reservations from one Schedule — pick an audience, set recurrence, anchor to a facility space.

Where it lives
Club events live under Club → Schedule. The page offers three views of the same data:
- List — chronological feed for quick scanning. Filter by Upcoming, Past, or All dates from the top of the card. Multi-day or recurring events count as Upcoming until their final occurrence ends.
- Week — 7-day grid (7am–10pm) with timed events laid out by start time.
- Month — calendar grid with color-coded entries.
Use whichever view matches the question you're trying to answer.
What an event can be
A single event can play one or more roles depending on which fields you set:
- Staff-internal event — board meeting, registrar prep, anything you don't want broadcast. Set Visibility to Club staff only.
- General club event — Visibility = Entire club, optional location. Examples: tryouts, tournaments, club socials.
- Team practice / hold — Visibility = Specific team with a team picker. The event shows up on that team's calendar.
- Outside-group reservation — Visibility = Unique team / group + a free-text label (e.g., "School district rental"). Used when there's no Athleit roster but the slot still needs to be claimed on the club calendar.
- Facility reservation — pick Space under Location to pin the event to a specific Space inside a facility. The event then also appears on that facility's calendar. See Club facilities.
These combine: a recurring weekly event with Visibility = Specific team and Location = Space is a recurring team practice on Court 1 — one row, surfaces in three places (Schedule, the team's calendar, and the facility calendar).
Creating an event
Open Club → Schedule and choose + New event. Fields:
- Title — short label shown across all views.
- Date and time — start and end. Toggle all-day to skip the time picker.
- Repeat — see Recurring events below.
- Virtual — mark events that don't have a physical location (e.g., a Zoom board call).
- Location — choose None, Location (free-text venue name + optional address), or Space (anchors the event to a facility resource — the event then shows on the facility calendar too).
- Visibility — see Visibility below. Required choice.
- Details — notes that show up in the event drawer.
- Track availability — see Tracking availability below.
Tracking availability
Turn on track availability when you want invited members to respond with an I'm going answer directly on the event detail. Once enabled:
- The event detail (mobile + web) shows an I'm going response control for everyone who can see the event.
- Each response saves to the event; you can see everyone's latest answer on the same screen to plan attendance.
- Turning the toggle back off hides the response control but keeps any prior responses so you can re-enable later without losing data.
Leave the toggle off for staff-internal events where you don't need to collect responses.
Reminders
Every club event automatically sends two reminders to the people in its Visibility audience:
- The day before — a push notification and email roughly 24 hours before the event starts. The email includes the title, start time, and location.
- Starting soon — a push notification only within an hour or two of the start time. No email at this point — it would arrive too late to be useful.
A few details worth knowing:
- Who gets them: the same group that can see the event — Club staff only events remind only staff, Specific team events remind that team plus club staff, Entire club events remind everyone in the club (and every linked team's families), Unique team / group events remind everyone in the club.
- The creator is skipped. The staff member who scheduled the event doesn't get reminded about it.
- Reminders fire once per event. Editing the event later — including moving its start time — does not re-send the reminders. If you need to push out a heads-up about a change, send a club broadcast or a team alert.
- Reminders honor each user's preferences. Anyone who turned off email notifications won't get the day-before email; mobile pushes follow the device's OS notification settings as usual.
- No setup required. There's no toggle to enable reminders per event — they're on by default for every club event you create.
For outdoor, non-virtual events with a usable location (a saved venue or address), the event detail shows a small live forecast — temperature (°F), wind (mph), and the current condition — anchored to the event's start time. Geocoding and forecast results are cached briefly (roughly 24 hours and 30 minutes respectively), so reopening soon may show a slightly updated reading.
Forecasts aren't shown for virtual events, events without an address, or events outside the forecast window. The weather display is informational only — it doesn't trigger alerts or affect scheduling.
Recurring events
For things that repeat — weekly board meetings, daily summer camp days, season-long practice slots — turn on Repeat and pick a pattern:
- Daily or weekly.
- An until date that anchors the end of the series.
The series shows up as separate occurrences in week and month views; you can tap any one of them. As a safety cap, a single series expands to at most 400 occurrences — long enough for a year of weekly meetings or several months of daily camp days.
Visibility
Every club event picks one audience. The choice controls who can see the event and which calendars it shows up on:
- Club staff only — only confirmed club staff (admins + staff) see the event. Useful for board meetings, registrar prep, or anything you don't want broadcast.
- Entire club — every club member sees it, and the event also surfaces on every linked team's calendar. Use this for tryouts, all-club socials, or any announcement that should reach families.
- Specific team — only that team's members + club staff see the event. Surfaces on that team's calendar (read-only there; only club staff can edit). Use this for U12 practices, team-specific holds.
- Unique team / group — type a free-text label (e.g., "School district rental"). Visible to every club member on the club calendar; does not appear on any team's calendar. Use when there's no Athleit roster but the slot still needs to be claimed.
On the team side, Entire club and Specific team events appear as read-only "Club event" entries colored purple, distinct from team games and team-created events. Team staff cannot edit them; only club staff can. For the family-side view, see Schedule and events → Club events on your team schedule.
Editing and deleting
Open any occurrence to edit or delete it. For recurring events you'll see two scopes:
- This occurrence — affects only the one date you opened.
- Entire series — affects the anchor and every future occurrence.
Edits to the entire series replace all occurrences. Edits to a single occurrence keep the rest of the series intact.
When an event has a Space set, edits and deletes flow through to the facility calendar automatically — there's no separate "booking" object to keep in sync.
Who can edit
Only club staff create, edit, or delete club events. Club members and team members see events read-only — including the shared events that show up on their team schedule.
